How to make the most of your business time

Ironically, as technology has become more widespread, it has made some areas of business life more time-consuming. So it is important that you really make the most of your working time.

How can you do this? Simply become a better time manager.

First look at what you need to do and why. Then delegate as much as you can.

Set realistic deadlines by building some slack into your work schedule to give yourself the best possible chance of meeting time targets, and, where possible, plan tomorrow’s work schedule today. (See Creating a realistic business plan) This is a great way to get ahead. At the end of each working day, jot down a “To-do” list of things you want to accomplish tomorrow, in order of priority. That will get you mentally prepared for the next day, and you'll avoid wasting time deciding or worrying about what should be the next step.

Always try to clear your desk at the end of each working day, and don’t put off decisions, answers and messages. They’ve got to be dealt with eventually - so do them today. Get into the habit of following this level of self-discipline. It will help you to become more focused and clarify priorities.

Avoid self-indulgence. Don’t get distracted by personal emails and if possible make sure all emails are screened by a third party so you see only the essentials.

When you are away from your office, always carry a notepad or tape recorder, so you can make a note of good ideas whenever they occur to you. If you’re travelling, take your laptop and mobile phone with you to the airport or train station - and catch up on emails and calls while you wait.

Do your best to make non-sales phone calls briefer and have your points written down in front of you in advance. If some small talk is necessary, leave it until the end of the call and deal with your business points first.

A good means of shortening meetings, which you know from experience take too long, is to hold them while standing up. People will be much more to the point.

Remember, one of the simplest ways of making time is to get up early in the morning and start work when there will no chance of an interruption. Your mind will also be at its clearest, you will produce more because you are fresh and you will feel on top of things because you are ahead of most people already.
